Introduction

It frequently occurs that a prospective client has selected SmartClass+ as their preferred solution, but must go through a public tender in order to acquire the system.

This “bid specifications” document provides some guidelines on structuring the public tender documentation in a fashion that highlights the unique benefits of SmartClass+.

This document focuses on the language lab software solution, and also references the requirements for complimentary equipment such computers, servers and networks.

System Overview

Modern language labs – whether they are foreign language labs, world language labs or second language labs (ESL labs) – typically include the following components:

TEACHER STATION - Teachers use a school-supplied computer-based workstation to manage language lab activities. The “computer” might be a simple laptop, but is often a desktop PC with a second monitor – used to display the language lab software console.

STUDENT STATIONS -Students can use any combination of school-supplied or personal:

  • Desktop or laptop computers
  • Tablets
  • Smartphones
  • Chromebooks

HEADSETS - Headsets help students focus on their own work by eliminating ambient room noises. Headsets also use noise-cancelling directional microphones to ensure that students only record their own voices – and not those of neighboring students.

SERVER - A server is just a simple computer that hosts the language lab software and the database of multimedia assignments and student recordings and responses.

NETWORK - Modern language lab software systems typically use the school’s data network to support communication and interaction among all participants. Networks can be wired or wireless (WiFi). Support for homework activities can also be extended across the Internet.

LANGUAGE LAB SOFTWARE - This is the software application that enables teachers and students to interact with one another. It includes a database of courses & classes and teacher & student participants, a library of multimedia lesson materials & assignments and associated student responses & teacher feedback. This is the management system that integrates all of the component parts into a single learning platform.

System Requirements

1.0 General

1.1 The system shall support a blend of live classroom activities (local) and self-study homework activities (remote) within a single product framework. SmartClass+ supports a blend of live activities and self-study activities.
1.2 The language lab system shall have a single central hierarchical database for all live classroom and self-study activities. SmartClass+ has a single central hierarchical database for all live classroom and self-study activities.
1.3 There shall be options for both school hosting of the system database (internal) and cloud-hosting of the system database (external). If school hosted, Internet access shall not be mandatory. The central database for the SmartClass+ system can be school-hosted or cloudhosted.
1.4 Cloud-based hosting options must use a reputable service provider such as Google. SmartClass+ cloud-based hosting uses Google cloud services.
1.5 School-hosted solutions must support all of the following database hosting configurations: Windows Server, Linux, and NAS (Network Attached Storage). SmartClass+ supports:
  • Windows Server (2003, 2008, or newer)
  • Linux Server
  • NAS (NTFS compliant storage)
1.6 There shall be three levels of access to the database; administrator, teacher, and student. Administrators shall have the ability to create teacher accounts. Teachers shall have the ability to create student accounts. SmartClass+ supports access to information for administrators, teachers and students. SmartClass+ enables administrators to create teacher accounts. SmartClass+ enables teachers to create student accounts
1.7 Student responses to live activities and to self-study activities shall be grouped by activity within the same single system database. SmartClass+ groups student responses by activity for both live and self-study activities in the same database.
1.8 All activities must be managed by teachers from a graphical user interface located at the teacher station. Activities are managed from two applications: The LAD (Live Activities Dashboard) manages classroom activities, and the MAD (Media Activities Dashboard) manages self-study activities
1.9 Ease-of-use is a critical requirement for all operational aspects of the system. Complex drop-down menus should not be used. SmartClass+ has been engineered from the outset to be as simple and intuitive as practicable for non-technical users. Drop down menus are avoided throughout.
1.10 The teacher station must be capable of running the latest Microsoft Windows software. SmartClass+ supports a Windows-based teacher station running version 7, 8, or 10.
1.11 The system shall support student workstations that may be “dedicated” or “bring-your-own-device” or a combination of these two types in the same classes. SmartClass+ supports both fixed devices and BYOD devices. A combination of fixed and BYOD devices can be used in the same classes.
1.12 The language lab platform must be capable of supporting a mix of student station devices (computers, smartphones, and tablets) running the following operating systems for both live and selfstudy activities:
  • Microsoft Windows
  • Apple MAC
  • Google Chrome
  • Apple iOS
  • Android
SmartClass+ provides multi-platform support for student devices. Devices can be mixed within the same system. Supported operating systems include Windows, MAC OS, Chrome, iOS, and Android.
1.13 It shall be possible to select the graphical user interface language from the following language options:
  • English
  • Spanish
  • French
  • German
  • Chinese – Traditional
  • Chinese – Simplified
  • Arabic
  • Japanese
  • Korean
  • Thai
  • Vietnamese
  • Bahasa – Indonesia
  • Bahasa – Malaysia

SmartClass+ includes a Language parameter for selecting the user interface language as follows for all of the listed languages. All languages are supported with complete characters and accents.

2.0 Language Lab Software

2.1 Live Classroom Activities

2.1.1 All live classroom activities must be able to be managed from a single graphical dashboard. SmartClass+ has a Live Activities Dashboard, (LAD), from which teachers manage all live classroom activities.
2.1.2 The language lab platform shall support the sharing of the teacher’s primary screen on student device screens (teacher to all, teacher to group, and teacher to individual) and the viewing of student screens (single student, thumbnail images of all students concurrently, and full-screen images of all students sequentially).

SmartClass+ supports teacher viewing of student screens from one student and from all students. When viewing all students, this can be done using Autoscan (sequential full-screen viewing) or Mosaic (concurrent thumbnails of all student screens).

2.1.3 When teachers are viewing individual student screens, it must be possible for teachers to remotely control the student device with their own keyboard and pointing device. SmartClass+ is compliant with the specified remote control requirement.
2.1.4 Where the resolution of user screens differs, the language lab system shall automatically scale screen images to fit the available resolution and must maintain the correct aspect ratio. SmartClass+ automatically scales all screen views whilst maintaining the correct aspect ratio across all devices regardless of resolution.
2.1.5 The language lab system must support an available option for hardware-based screen sharing without compression of resolution or loss of color palette. SmartClass+ provides a hardware-based KVM (Keyboard-Video-Mouse) screen sharing option.
2.1.6 Two-way audio intercom communications must be supported across all stations sharing the same local area network(LAN) in a class without the need for Internet access. SmartClass+ supports this requirement for class audio intercom.
2.1.7 The language lab platform shall support one-way audio (both teacher listening and teacher speaking) intercom connections for teacher to all, teacher to group, and teacher to individual, and group to teacher and individual to teacher. SmartClass supports teacher audio to individuals, groups, and the whole class. SmartClass+ supports monitoring of individual students and student groups.
2.1.8 Whilst broadcasting to the class, the teacher shall be able to select any student and enable audio broadcast for that student (without impacting the teacher’s broadcast). This is done to enable students to ask questions or make comment in a full class environment. SmartClass+ supports a “Floating Microphone” that can be assigned by the teacher to any student during presentations.
2.1.9 The teacher shall be able to define student “conversation groups” so that all students can concurrently practice speaking with one or more partners. Teachers shall have the ability to define groups sequentially, randomly, or by manual group selection. Group size must as a minimum include options for 2, 3, and 4 students/group. SmartClass+ supports the creation of student groups with 2 students (pairs), 3 students, or 4 students. Groups can be selected manually, randomly, or sequentially.
2.1.10 The language lab system must support an available option for hardware-based audio intercom with high-fidelity sound and using 32 channel stackable audio matrix based central switching equipment and individual workstation sound mixer/amplifier modules. SmartClass+ provides a hardware-based Audio Intercom option using 32x32 stackable audio-matrix technology and individual workstation mixer/amplifier modules.
2.1.11 It shall be possible to include bidirectional webcam sharing for teachers and students to supplement audio communications. SmartClass+ supports webcam sharing.
2.1.12 Webcams shall be automatically enabled when user microphones are activated – and automatically disabled when user microphones are deactivated. SmartClass+ links webcam enabling/disabling to user microphone activation/deactivation.
2.1.13 Webcams should similarly be enabled when students have been assigned to conversation groups. SmartClass+ supports bi-directional webcam communication/viewing within conversation groups.
2.1.14 Teachers shall have a master control panel for managing concurrent recording of students and playback of student audio and audio + webcam recordings to their students. SmartClass+ has a Student Recorder Control panel to enable teachers to manage student recording & playback
2.1.15 Teachers shall be able to concurrently record audio and/or audio + webcams for all students. SmartClass+ defaults to audio recording, unless the Record Video box is checked.
2.1.16 Teachers shall be able to concurrently record audio and/or audio + webcam for all individual students. The SmartClass+ “Live Testing” menu is used to record all students individually and concurrently.
2.1.17 Teachers shall be able to concurrently playback audio and audio + webcam recordings to all students The SmartClass+ “Live Testing” menu is used to playback all student recordings concurrently.
2.1.18 Teachers shall be able to concurrently record audio and/or audio + webcam for all student groups (e.g. pairs). The SmartClass+ “Pairing/Grouping” menu is used to record all student groups concurrently
2.1.19 Teachers shall be able to concurrently playback audio and/or audio + webcam recordings to student groups. The SmartClass+ “Pairing/Grouping” menu is used to playback all group recordings concurrently.
2.1.20 Teachers shall be able to preset a countdown timer when student audio and/or audio + webcam recording is enabled. Teachers can preset the timer for 10sec, 15 sec, 20 sec, 30 sec, 40 sec, 1 min, 2 min, 3 min, 4 min, 5 min, or 10 min.
2.1.21 The system shall be able to save all student audio and/or audio + webcam recordings in the system’s central database under a live activity name that the teacher provides. Teachers enter a name for the recording activity prior to launching student recorders. Student responses are associated with this exercise name.
2.1.22 The system shall be able to export all student audio recordings in an MP3 format into a single folder. Student audio recordings can be exported as MP3 audio files.
2.1.23 The system shall be able to produce audio recordings that are compliant with the Advanced Placement (AP©) format. Student audio recordings can be exported as MP3 audio files and named using the 12345678.mp3 AP© compliant convention.
2.1.24 Teachers shall be able to send text messages to all students concurrently or to a single student. Students shall be able to respond to all teacher initiated text messages SmartClass+ has a hot-key for text-to-all. SmartClass+ enables teachers to chat (bi-directionally) with individual students. SmartClass+ enables students to respond to the teacher after receiving a class or individual text message.
2.1.25 It shall be possible to randomly partition the class into a minimum of 5 sections and conduct a different activity in each section. The SmartClass+ LAD supports up to 5 independent color-coded sections. Unique activities can be conducted in each section or one section can be reserved as a library group.

2.2 Self-Study Activities

The self-study dashboard shall support the authoring of the following self-contained exercise types (referenced to multimedia stimulus (S) and student response (R)):

  • 2.2.3 The dashboard must include provision for authoring new multimedia content in text, audio, and/or audio- + webcam format without the need for any 3rd party programs. The SmartClass+ MAD enables teachers to author new text, audio, and video multimedia content.
    2.2.4 The dashboard must support the creation of self-contained multimedia exercises (such as recording assignments). The SmartClass+ MAD Exercise Wizard enables teachers to build self-contained exercises using a broad range of available exercise templates.
    2.2.5 The dashboard must support the sharing of media files and exercises amongst teachers within the school and with other schools using similar independent systems via a no-fee, cloud-based, supplier-hosted content sharing library. SmartClass+ supports the sharing of media files and exercises amongst system users within the school and at other schools.

  • 2.2.7 It shall be possible to make individual exercises available to students without response time limitations and/or as a timed test. SmartClass+ MAD supports both open and timed-test response formats.
    2.2.8 The self-study dashboard must enable teachers to assign exercises to study modules, and then assign those study modules to students on a timed basis (via pre-programmed timer or manual enable/hide). Modules can contain one or many exercises. Teachers can name modules as appropriate. The SmartClass+ MAD supports a capability called “Exercise Organization”, under which any number of exercises can be assigned to modules, and each module can manually or automatically assigned to students for a period of time. Teachers can name each module.
    2.2.9 Students will have access only to the contents of those modules which have been assigned to them. Students can only view assigned modules that are active. Unassigned modules and inactive modules are not visible to them.
    2.2.10 Student responses to a given self-study exercise and/or a live activity must be grouped within a single folder in the same database. Teachers can select any exercise from the same graphical interface. Each assigned exercise has its own token. When a teacher clicks on this token, he has access to all student responses to this exercise. This applies to both self-study and live activities.
    2.2.11 Teachers must be able to review each students work (both at school or from home) and leave a grade, written feedback, and oral feedback. Teachers can review student work and as they see fit leave any combination of a grade, written feedback, and/or oral feedback.
    2.2.12 Auto-grading of student assignments is mandatory for exercise types where the correct response is inherently known – including multiple choice quizzes, fill-inthe- blanks quizzes, and pronunciation speaking activities. The following exercise types include auto-grading support: All quizzes and all pronunciation activities.
    2.2.13 Students must have immediate access to their grades and feedback for each assignment (both at school and at home). Students have access to grades and feedback the first time they access the exercise after feedback has been given.
    2.2.14 Both students and teachers must have access to grading & feedback summary report for all assignments (both at school and at home). The Student Performance Report is available to the teacher and the individual student. This report summarizes grades and written feedback for all exercises.
    2.2.15 Teachers must be able to generate a comparative performance report for all students in the class (both at school and at home). The Grades Report summarizes the grades for all students for all selected assignments.
    2.2.16 Students must be able to provide written responses in all target languages with complete character and accent support. SmartClass+ completely supports all target languages with full character sets and all accents.

    3.0 Headsets

    3.1 User headsets must include a dual-ear headphone with an integrated boom microphone. They must include padded ear cushions and a padded head band to ensure user comfort with extended wear. Ear cushions must be replaceable. SmartClass+ headsets are compliant with the specified requirement. SmartClass+ headsets include comfortable ear pads and a padded headband. SmartClass+ headsets have replaceable ear cushions.
    3.2 Headsets must use a dual-microphone noise cancelling design that minimizes the pick-up of all background sounds SmartClass+ uses a specialized dualmicrophone noise cancelling design that minimizes pick-up of sounds other than the local user’s voice.
    3.3 Microphones must use “electret condenser” technology to minimize hum pick-up SmartClass+ headphones use a dual electret microphone design.
    3.4 Headsets must be made from a rugged malleable composite such as elastic polyethylene. SmartClass+ headsets use a strong bendable elastic polyethylene to ensure durability and long life.
    3.5 Headsets must be available with both dual 3.5 mm plugs (separate microphone and stereo headphone) or single 3.5 mm combo plugs (all in one). SmartClass+ headsets are available with dual jacks (SC2500 HS3) or a single combo jack (SC2500 HS4).
    3.6 Headphone sound transducers must support high fidelity audio with a frequency range of 20 Hz to 20,000 Hz SmartClass+ headsets use transducers meeting the specified performance.

    4.0 Cloud Hosting Option

    4.1 The language lab platform must support an option for cloud-hosting of the system database – and the cloud service provider must be a recognized leader such as Google. SmartClass+ provide a cloud-based hosting option for the system database. Cloud services are provided by Google.
    4.2 For live activities, all local communication (e.g. screen sharing, audio intercom, webcam sharing must be confined to the local area network without the need for cloud access. All live activities using screen sharing, audio intercom and webcam sharing operate entirely within the local area network and do not require cloud access.
    4.3 For live recording activities, all students recording must be collected within a local folder and then uploaded to the cloud from a single device. Provision must be made to buffer locally until the cloud upload is complete. Local recordings are collected at the teacher station and then uploaded to the cloud database from this station. The local buffer is saved until the upload has finished.

    5.0 Hardware-Based Audio Intercom Option

    5.1 A hardware-based audio intercom option using multi-channel audio matrix technology must be available. SmartClass+ provides an optional hardware-based audio intercom subsystem using audio matrix technology.
    5.2 The audio intercom subsystem shall use multi-path audio matrix central switching technology with a minimum matrix size of 32 x 32. Matrices shall be stackable to support up to 64 audio connection points. Audio matrix modules support a 32 x 32 matrix connection (32 connection points) and can be stacked to support up to 64 connection points.
    5.3 The audio intercom subsystem shall include an audio mixer module suitable for table top or under-table mounting at each workstation position. SmartClass+ audio mixers are housed in a rugged box that can be mounted on the table top or beneath a desk.
    5.4 The mixer shall provide mixing support for the intercom, at least one headset, and workstation audio. The mixer shall also include a local volume control and microphone mute control. SmartClass+ audio mixers include mixing support for intercom signals, headsets, and computer audio. Mixers include a local volume control and microphone mute button.
    5.5 Hardware-based switching modules shall use a star topology so that system cables can share the same conduit and central equipment location as the classroom’s data networking equipment. The SmartClass+ audio intercom subsystem uses a star topology between the central matrix switching system and the workstation audio mixer modules.
    5.6 The hardware audio intercom subsystem must use its own dedicated CAT-5e (or better) UTP cabling to offload intercom data from the school’s data network SmartClass+ connections use CAT-5e UTP (or better) cabling.
    5.7 Each audio CAT-5e UTP cable shall provide connections for at least 2 workstations to minimize the number of central equipment connections. Each CAT-5e UTP cable includes audio connections for two endpoints. Cables can be daisy-chained between successive mixers.
    5.8 Hardware-based switching connections shall support cable lengths of at least 75 feet from any station to the central switching equipment. SmartClass+ supports audio cable lengths that can exceed 100 feet between the central matrices and workstation audio mixers.
    5.9 Hardware-based switching components shall be entirely external to all workstations. To protect computer warranties, there can be no hardware modules mounted inside computer workstations. SmartClass+ audio mixers are external to the local workstations.
    5.10 Hardware-based audio components shall support high-fidelity stereo signals at all workstations and shall provide an audio bandwidth of 20 Hz to 20 KHz ± 3 db. The SmartClass+ hardware audio intercom subsystem provides HiFi audio having a bandwidth of 20 Hz – 20 KHz.

    6.0 Hardware-Based Screen Sharing Option

    6.1 A hardware-based screen sharing option supporting either VGA or DVI/HDMI industry standards must be available. The SmartClass+ hardware-based screen sharing option offers both VGA and DVI/HDMI choices.
    6.2 The screen sharing subsystem shall also include support for USB keyboard and mouse sharing to enable remote control of the station whose screen is being shared. The screen sharing option includes full KVM (Keyboard-Video-Mouse) support
    6.3 The hardware screen sharing subsystem must use its own dedicated CAT-5e (or better) UTP cabling to offload screen sharing data and related keyboard/mouse control data from the school’s data network. The screen sharing option uses dedicated CAT-5e UTP (or better) cabling to carry all KVM related information.
    6.4 Hardware-based switching modules shall use a star topology so that system cables can share the same conduit and central equipment location as the classroom’s data networking equipment. The SmartClass+ KVM subsystem uses a star topology between the central switching hubs and the workstation interface modules.
    6.5 Hardware-based switching connections shall support cable lengths of at least 75 feet from any station to the central switching equipment. SmartClass+ supports KVM cable lengths of up to 75 feet between the central hubs and workstation interfaces.
    6.6 Hardware-based switching components shall be entirely external to all workstations. To protect computer warranties, there can be no hardware modules mounted inside computer workstations. The SmartClass+ KVM subsystem uses external workstation interface modules that intercept the cable connections between the computer workstation and its monitor, keyboard, and mouse peripherals.
    6.7 Workstation interfaces must include support for multiple workstations to minimize the number of cables connected to the central switching equipment. Workstation interfaces support from 2 to 8 workstations (depending on the selected connection standard).
    6.8 Hardware-based screen-sharing components shall support a video switching resolution of at least 1920 x 1200 pixels @60 Hz. The SmartClass+ KVM subsystem supports screen sharing for displays have a resolution of up to 1920 x 1200 pixels @60 Hz.

    7.0 Installation & Support

    7.1 The language lab system supplier must provide both on-site and on-line system installation and support services. Robotel offers on-site installation services and on-line installation support services via Team Viewer, Go-To-Meeting, and/or Skype.
    7.2 Telephone, fax, email, and on-line support services must be available. Robotel provides phone, fax, email, and on-line support services.
    7.3 The language lab system supplier must provide electronic documentation for the following items:

  • 7.4 All system hardware components must be warranted for a minimum of 1 year from the date of installation. All Robotel hardware products are warranted for 1 year.
    7.5 All system software updates must be provided without additional cost for a minimum of 1 year from the date of installation. All systems automatically include 1 year of no-fee access to software updates.
    7.6 Access to system software updates beyond the first year must be made available on an annual basis for a nominal fee. Software update services can be extended via an annual agreement for a nominal fee.

    8.0 Training & Professional Development

    8.1 The supplier must provide complete enduser training services for the teachers who will be using the system. Advanced train-the-trainers courses and technical support courses shall be available for the school’s technology support staff. Robotel provides training services for teachers, in-house trainers, and technical staff.
    8.2 Professional development courses shall include as a minimum the following modules;
  • Beginner
  • Intermediate
  • Advanced
  • The professional program must have a published curriculum, and unique training guides must be available for each course

    Our core teacher courses comprise beginner, intermediate, and advanced levels.

    Course curricula are published as are the training guides for each course.

    8.3 Each module must be no more than 3 hours in duration to keep within the attention span of the average teacher. All training modules are designed to be completed in a single 3-hour session.
    8.4 Modules must be scheduled 4-6 weeks apart to give teachers the opportunity to practice and internalize what they learn in each course session and identify where they need review and help for the next session. It is recommended that clients leave 4-6 weeks between courses to enable teachers to internalize what they have learned in previous courses before tackling new materials.
    8.5 Additional customized professional development modules must be available as required to support refresher training and specialized topics. Courses can be customized for individual clients. Topics such as refresher training and AP training for proctors are routinely provided.
    8.6 Training services must be available both face-to-face and via electronic conferencing. Robotel offers both on-site and live online training services
    8.7 The instructor must be a certified teacher with at least 3 years of experience in language teaching and educational technology use. Our trainers are experienced teachers having years of experience with educational technology.
